Step-by-Step Guide: Uploading Your Unofficial PDF Transcript(s)
Follow these steps after submitting your application and paying the application fee.
1. Gather Each Post-Secondary Transcript
- Locate the PDF transcript issued by each university or college you attended.
- If the institution only provides a web view, download the official PDF or request it from the registrar. Avoid photos whenever possible.
2. Ensure Each Transcript Includes a Grading Key/Legend
- Confirm the transcript shows the grading scale (e.g., A, B, 3.7, etc.).
- If the grading key is missing, download the official grading key from the school’s website and include it in your PDF (see Step 4).
3. Translate if Not in English
- If your transcript is in a language other than English, obtain a certified translation.
- Combine the original transcript and certified translation in the same PDF (original first, translation second) or follow the application’s instructions if they prefer the translation first.
4. Combine All Pages into a Single PDF
- For each institution, all pages must be in one PDF file (do not upload multiple files for the same school).
- Use a PDF merge tool (built-in OS preview, Adobe Acrobat, or free online tools) to join pages in this order:
- Transcript pages
- Grading key (if separate)
- Certified translation (if applicable)
- Example filenames:
Lastname_Firstname_UniName_Transcript.pdf
Doe_Jane_UofX_Transcript_and_GradingKey.pdf
5. Verify Your PDF
- Open the merged PDF and check that:
- All pages are included and readable
- Grading key/legend is present
- Certified translation is attached (if needed)
- Confirm file size and resolution — text should be legible.
6. Log into Your Application Portal
- Navigate to Application Summary / Application Status.
- Locate the requirement labeled Preliminary Statement of Marks or Additional Prelim. Statement — this is where you’ll upload your unofficial transcript(s).
7. Upload the PDF(s)
- Upload one PDF per institution (all pages included).
- Make sure the file is attached to the correct institution requirement if the portal asks you to match them.
8. Confirm Upload and Keep Records
- Ensure the portal shows your PDF as received for the Preliminary Statement of Marks / Additional Prelim. Statement.
- Save a copy of each uploaded PDF and take a screenshot or note the upload confirmation for your records.
9. Understand the Official Transcript Requirement
- Uploaded PDFs are considered unofficial/preliminary.
- If offered admission, you will later need to submit official transcripts (mailed or electronic) as specified. Keep originals ready.

Short Troubleshooting
- Portal rejects the file: Check that it’s a single PDF, not password-protected, and all pages are readable.
- Missing grading key: Attach the school’s official grading legend as a page in the same PDF.
- Unsure where to upload: Go to Application Summary → Admission Requirements and find the Preliminary / Additional Prelim. item.
